HelloShift Releases Hotel Operations Index Drawing on a Decade of First-Party Hotel Operations Data

HelloShift, an AI-powered hotel operations platform, today published the HelloShift Hotel Operations Index, an aggregate analysis of the operational records hotel teams have logged on its platform since 2014: staff tasks, housekeeping assignments, room inspections, and guest messages spanning twelve years of day-to-day hotel operations.

Unlike survey-based industry reports, the Index draws on records hotel teams created while doing the work itself. All published figures are aggregate percentages, rates, and durations. No volumes, property counts, property names, or guest information are disclosed.

Key Findings

The ad-hoc work hotels log by hand skews maintenance

Hotels schedule predictable work in dedicated systems: room cleans as housekeeping assignments, recurring inspections and preventive maintenance as checklists. Of all the ad-hoc tasks hotel teams assigned in the trailing twelve months, maintenance was the largest category at 33 percent, ahead of housekeeping at 30 percent and front desk at 10 percent; a further 26 percent went to named individuals and are not categorized. Counting only tasks routed to a department, maintenance was 45 percent and housekeeping 41 percent. The finding concerns unplanned work, not total labor: cleaning and inspections run on schedules and never appear as tasks, which is why the hand-logged column skews toward the building.

Completion rates were high across categories: 96 percent for maintenance, 93 percent for housekeeping, and 98 percent for front desk tasks. The data suggests the operational gap in hotels is not follow-through but visibility: the largest category of unplanned work is often the least systematized.

Guests turn away a scheduled housekeeping visit about one time in twelve, unprompted

At properties that still schedule every occupied room for daily service, room attendants met a do-not-disturb sign or a declined service on 8.3 percent of scheduled visits. The strict do-not-disturb rate alone was 7.0 percent. The figure is an unprompted floor: no incentive or prompt to skip was offered, and the count includes departure rooms where no guest is present to decline, so the stayover-only rate runs higher. Hotels that invite guests to opt out report rates several times higher, which suggests most housekeeping opt-out is created by asking.

At the typical property the median clean ran about 31 minutes, consistent with common industry benchmarks for a departure room; the fleet-wide trimmed mean was about 21 minutes, pulled down by a few high-volume properties.

Roughly 60 percent of hotel-to-guest messages are automated

Of the messages hotels sent guests through the platform in 2025, approximately 60 percent were automated lifecycle and trigger messages such as booking confirmations, pre-arrival instructions, and checkout follow-ups, with AI-drafted messages under 1 percent. The automated share has held between 57 and 61 percent in each of the last three years, indicating the automation of guest communication predates the current AI wave. Roughly one in six inbound guest texts arrived between 7pm and 7am local time, a night-shift workload that never rings a phone.

Inspection fail rates have held between 3 and 4 percent since 2024

Room and quality inspections failed their property's own pass threshold on 3 to 4 percent of runs in each year since 2024, a 96 to 97 percent first-pass rate against a commonly cited industry target of 90 percent, suggesting quality assurance in hotels functions as a permanent operational discipline rather than a diminishing backlog.

Methodology

The Index draws on operational records logged on the HelloShift platform since 2014, analyzed in aggregate. Checklist line-items are excluded from task counts, matching the platform's own reporting. Cleaning durations are trimmed to a 1-to-240-minute window, with medians computed per property and then aggregated. After-hours is defined as 7pm to 7am in each property's local timezone. Automated messages are lifecycle and trigger messages; AI-drafted messages are counted separately and included in the automated share. Current-operations figures reflect the trailing twelve months on the platform's active fleet; all published figures are percentages, rates, and durations only.
