Via a button in the notes field in the guest profile or reservation the staff can speak voice-to-text messages for guest or reservation notes. The GM/staff is in the breakfast room or somewhere around on the estate, he engages with guests and learns different things about them. With voice, they can launch the PMS on their mobile, speak into it and add a comment that is relevant for the reservation or the guest profile based on their recent engagement with the guest.

What do you like most?

I like many things about visual matrix, but if I had to pick one thing I think it would be the amazing tools that Visual Matrix offers. The tools I specifically enjoy are front office reports. This tool can do many things on the front office reports that are helpful through out the day. Such as downtime reports. Downtime reports are reports we are printing every 2-3 hours. They have so much information packed into them it has all of your arrivals for the day, all of your check outs, and so much more. These are very helpful when something happens and power is lost and we are not able to access our online portal. It also has the operator cash out this tells you how much money you have made for the day and if you have taken cash the exact amount you have taken. This area also offers a list of departures, arrivals, and in house list. Those again are helpful if you loose power and are not able to access the portal. There are so many other amazing features that Visual Matrix offers such as a management tab that has a lot of amazing functions as well. I think a lot is offered to anyone in the hotel industry. Housekeeping and maintenance have their own tab and so does sales and marketing also accounting. There is just something for everyone at our property to use to be involved with your system. I just love everything that Visual Matrix has to offer it is very helpful and easy to understand. Thank you Visual Matrix. We are so glad to be using your system at our here at our property today.

What do you dislike or think could be improved?

I think that the one thing that could be improved is the two way interface connection. That is one of the things that goes down on our system the most. Other than that I do not believe anything else would need to be improved. Everything is top tier with Visual Matrix and it is very easy to understand. I enjoy doing my work on your system. Thank you lots Visual Matrix. We are pleased to use your system here at our property.

I like the short cut home screen for easy training on check in, check out, booking rooms etc. I think the pos gift shop process is pretty easy to learn as well. The instant chat feature is good when you need to get a hold of tech support. Its nice not having to wait so long to get help. When calling tech support it can take a half hour to reach someone. I also like the process for group reservations. Night audit is so easy to run and reprint reports if you need to. I am responsible of the accounting of corporate reservations as well and the invoicing process is not too hard to learn. The aging report is a god sent and helps me a lot to be able to keep track of who I need to reach out to pay their invoices. Overall switching to the cloud version of Visual Matrix has been a big improvement because I can log in and work on things from home if I have to.

Some users feel that Visual Matrix offers fewer features than other PMS platforms, such as Opera. Tasks like handing multi pay scenarios or managing guest incidentals may require additional steps, making the process less streamlined. There have been stances where users found it challenging to access timely technical support. In critical situations, the lack of immediate assistance can pose significant challenges for hotel operations. It can take up to 45 minutes for someone to answer the phone at tech support. The learning curve for some new employees can be hard, We have had new hires quit because Visual matrix was too hard to learn and this overwhelmed them. Transitions to Visual Matrix from other systems can be challenging for some users. The initial days may require adjustment as staff become familiar with the new interface and functionalities. It's important to note that experiences with software can vary on individual needs and the specific context of use. Many users find Visual Matrix to be an effective tool for hotel management, but it's advisable to consider these potential drawbacks when evaluating its suitability for your operations. We have had many days also that our credit card batches do not process.

I recently experienced a frustrating issue with sending emails containing folios and reservation confirmations to guests, which began after our hotel’s email password was changed due to security concerns. Thankfully, Tracy from the Visual Matrix support team resolved the issue in under 10 minutes! Tracy quickly connected remotely to my system and took care of everything for me. She not only fixed the immediate problem but also took the time to explain what went wrong. I appreciated her clear communication and the professional manner in which she handled the situation. To make sure I could handle it on my own in the future, Tracy also sent me a helpful article outlining how to resolve the issue if it ever occurs again. What stood out to me was how efficiently Tracy worked to resolve the problem and her friendly, positive attitude throughout. It’s clear that the Visual Matrix team is dedicated to providing top-notch service. I truly appreciate their professionalism and willingness to assist in any way possible. Overall, my experience with Visual Matrix was fantastic. They’re always ready to help, and it’s refreshing to see such genuine dedication to customer satisfaction. I would rate their support a solid 10/10, and I’m grateful for their ongoing commitment to helping customers in a timely, professional, and efficient manner.

After my support ticket was resolved, I received multiple emails with the same message: "Thank you for being a valued Visual Matrix customer. Please check your email for a response from our support team as your ticket has been resolved and closed." While I appreciate the follow-up and the confirmation that my issue has been resolved, receiving several of these emails feels a bit redundant. One email would be sufficient to notify me that the ticket has been closed. It would streamline communication and prevent unnecessary clutter in my inbox. Other than this, I have no additional suggestions for improvement. The support I received was excellent, and I’m very satisfied with how quickly and professionally the Visual Matrix team handled my issue. The overall experience was positive, and I continue to trust Visual Matrix for their outstanding service.
