What is Spa Software

Looking for a way to manage massage bookings, set prices, process payments, and track client loyalty? Spa software has you covered. A spa management system helps you run every aspect of your spa or salon, whether it’s a part of a hotel or resort or a standalone location. Great booking software ensures smooth business management with notifications for common issues like no-shows, credit card rejections as well as streamlined workflows like check-in through mobile apps and desktop browsers. Many popular spa management software solutions include marketing tools like social media management. Spa software typically contains a calendar where you can create and modify bookings, plus features like a client database, an online booking engine, reporting and analytics, inventory tracking, and automated communication tools all-in-one place to streamline operations at your wellness facility through automation. With such a system in place, you can run a more efficient and profitable spa while dedicating more time and energy to creating a personal, thoughtful experience for your clients. Most spa software either contains a native point of sale solution or integrates with popular POS systems to facilitate and manage real-time appointment bookings and appointment scheduling.
Finding the right Spa Software solution for your hotel depends on several variables ranging from user experience and pricing to functionality and support. This guide is designed to help you identify the best Spa Software vendors, questions to ask on demos, read unbiased reviews from similar hoteliers and so much more. BENEFITS

What are the benefits of dedicated hotel spa software?

  1. Manages your spa and salon bookings: The system supports each booking from beginning to end. The booking calendar allows you to create client bookings, modify or cancel appointments, and set provider schedules. With a digital version of your spa menu, you can easily enter bookings with the correct duration, rate, and treatment room. And an online booking engine can even allow clients to make bookings on your website.

  2. Handles payments: Collect payment for services and merchandise in the same interface. The system can also take deposits at the time of booking and issue refunds for cancellations.

  3. Builds relationships with clients: Like a modern rolodex, your spa software houses a profile for each client, complete with their treatment and purchase history, preferences, and personal details, like their birthday or favorite kind of tea. The system helps you nurture these relationships with automated appointment reminders and promotional offers.

  4. Allows for more efficient operations. Spa management software can eliminate a lot of manual work by automating tasks like sending appointment reminders, scheduling, and payment processing - all while reducing the risk of manual error.

  5. Offers insight into booking trends. Your spa software puts analytics at your fingertips so you can learn about your most popular services, your least popular timeframes, and your highest-value clients.

  6. Increases revenue through self-service booking and relationship-building. With the technological muscle behind spa management systems, you can empower clients to book their own appointments online, which is often easier than picking up the phone to call for an appointment. Also, you can easily nurture these relationships by sending birthday greeting or discount offers to your database of loyal clients.

FEATURES

Most Important Features of Hotel Spa Software

Booking calendar: The #1 feature of spa software is the booking calendar, which holds all of your appointments in one interface.

Online booking widget: This feature allows clients to book their own appointments on your website, and the appointments automatically synchronize with your booking calendar.

Payment processor: Take deposits and payments (for services and retail!) without having to switch screens.

Client database: Securely store all of the essential details about your clients, from their date of birth and preferred treatment provider to their home address and phone number.

CRM tools: Customer relationship management is seamless when the same system can send text messages or emails about upcoming appointments, sales, events, and holidays.

Staff management: Set schedules, system permissions, and payroll for your team while maintaining confidentiality.

PMS integrations: If your spa sits within a hotel or resort, your clients might want to put their massages on their hotel bill, and an integration with the hotel’s property management system will enable you to access their hotel folio.

Mobile version: You and your staff aren’t always sitting behind the computer at the front desk, so a mobile-friendly version of your spa management software is crucial for running your business from anywhere.

PRICING

How much does hotel spa software cost?

Many popular spa management systems charge a monthly fee, though the fee amount can vary based on the size of your business and the features you need. You can expect to pay around $150 to $200 per month for a basic subscription that includes limited features and a cap on the number of users or staff members it supports. For $400 to $500 per month, you can get premium features like unlimited SMS and email sends, upgraded analytics, and support for multiple locations.

It’s rare to see spa software with a setup or implementation fee. Payment processing fees are usually assessed on top of the monthly software fee, and they can range from roughly 2 to 3% of transaction value.

IMPLEMENTATION

What is the implementation and process for hotel spa software?

When you’ve settled on a spa management system, what happens next? If you’re transitioning from one software to a new one, you’ll want to work with the new vendor to import all of your products, financials, and client history. This is valuable information you don’t want to lose, most spa software offers support for this process. If you’re starting from scratch, then you’ll need to build out all the details of your services, like the price, duration, provider, treatment room, and description.

Next, you can train your staff on how to use the system. Front desk staff will need to know how to create and modify bookings, process payments, update client information, and manage retail inventory in the system. Treatment providers will need to know how to access and understand their schedule and the booking calendar.

With these necessities covered, you can start to take full advantage of the system by configuring the less essential, but still powerful, features. Take some time to set up automated marketing communication, like appointment reminders and requests for reviews, and to add your booking widget to your website so clients can easily make appointments.

Mission
Our mission is to speed up pace of innovation and adoption of technology in the global hotel industry to make it one of the most digitally savvy and efficient industries on the planet.
Vision
Our vision is to make Hotel Tech Report the starting point for every tech stack decision within the global hotel industry from small B&Bs to major chains.

We sell different types of products and services to technology companies to help them educate buyers, build their brand and grow their install base. These services are usually sold through bundled membership packages but are also sold a la carte and include: sponsored content, advertising, lead generation and marketing campaigns. While members do receieve many benefits to help improve their presence ranging from enhanced premium profiles to review collection services—membership status and sponsorship do not influence the HT Score ranking methodology in any way.

We rank products based on our proprietary ranking algorithm, the HT Score. The HT Score is an aggregated score out of 100 that is relative within each category that is intended to encapsulate key variables in the buying process including: customer ratings & reviews, partner ecosystem, integration availability, customer support, geographic reach and more.

Similar to REVPAR for hotels, the HT Score is intended to be a normalizing metric to be able to better compare different vendors. Instead of rate and occupancy, the two prinmary drivers are a blend of review quantity and average ratings. Also similar to REVPAR, the HT Score is a metric to aid in decision making but is not intended to be used as a sole factor when selecting vendors.

Maintaining independence and editorial freedom is essential to our mission of empowering hoteliers.

Core Hotel Tech Report content is never influenced by vendors and sponsored content is always clearly designated as such. Our team will only write sponsored content about products that we have either (1) demoed (2) gathered extensive user research on or (3) used ourselves.

To further protect the integrity of our editorial content, we keep a strict separation between our sales teams and authors to remove any pressure or influence on our analyses and research.

HTR crowd sources tens of thousands of verified reviews every year and aggregates hundreds of thousands of other data points ranging from expert recommendations to product integrations data which are instantly analyzed and made available to millions of hoteliers around the globe to discover, vet and research digital products for free on the platform to make technology decisions faster, easier and less risky-thus speeding up the pace of global innovation and adoption of technology.

Choosing the right software for your hotel depends on dozens of variables many of which can be quantified based on the characteristics of your property but many of which also come down to personal preference. Is your hotel a small property with limited budget? Or is your property a luxury resort with lots of outlets and high ADR? HTR is designed to offer dynamic filters to quickly be able to personalize the data set to your characteristics. We also break down hotels into key segments/personas based on common property characteristics that typically service as indicators that drive similar product decisions which are intended to help you save time and quickly identify the best match for your hotel or portfolio.

While HTR’s data set is constantly growing making its recommendations more representative and accurate over time, our programatic recommendations based on the HT Score, data and segment popularity are intended to serve as a tool for you to leverage in the buying journey but do not replace thorough due dilligence and research. No two hotels are alike and most purchasing decisions also include personal preferences which is why we highly recommend that buyers consider a minimum of 3-5 vendors during the research processthat you get live demos and price quotes from to be able to make an informed decision.
